Medical Secretary/Receptionist – Center for Vascular Diseases, PrimaCare

Education/Experience:
• Previous experience working in a healthcare environment is required.

Education:
• High school diploma or graduation equivalency degree (GED).
• The individual possesses basic computer skills.
• Previous work-related skill, knowledge, or experience is required for this position.

Language:
• English & Portuguese

General Scope of Responsibility:
The Secretary plays an integral role in shaping the patients’ impression of the Center, which contributes to the patient-provider experience. This member of the team is responsible for a variety of front office activities which include answering phones by routing/screening calls,

Essential Job Functions:
• Scheduling of offsite testing (ie. CT scans, MRIs )
• Assists in coverage of the check in patient window
• Calls to confirm patient appointments (share with Check-In position)
• Answer office phone calls; route calls to the appropriate provider/staff person
• Provides “out of work” or “back to work” notes as requested
• Provides prescriptions for compression stockings for patients
• Schedules patient as needed with outside transportation.
• Scan documents as needed into the electronic medical record (eCW)
• Assist with scheduling new patients as needed
• Assists Billing Coordinator with checking insurance eligibility and referrals

Duties for Follow-up Scheduling:
• Follow-up visits with Center providers
• Follow-up Diagnostic studies
• Coordinate patient discharge with Billing Specialist to confirm insurance authorization is in place
• Schedule follow-up visits/studies for patients seen in affiliated offices.
• Obtain pre imaging laboratory studies and reviews results of laboratory studies with providers prior to imaging procedure
• Move/reschedule imaging appointment as required based on laboratory results
• Arrange diagnostic studies off site as required

Other Duties:
• Provide testing/imaging results to providers for patients not requiring f/u office visit
• Communicate with patients and testing centers, regarding questions/clarifications of orders
• Reschedule/cancels appointments as needed
• Assist others with tasks when one’s own work is complete

Required experience:
• Medical receptionist: 2 years
